Outsourcing software development to India: a practical guide for UK and European businesses

Thinking of building your software with a team in India? How to choose a partner, pick the right engagement model, protect your data and avoid the common mistakes.

Thousands of UK and European companies build their software with teams in India. Some get a reliable long-term partner and a product they are proud of. Others get missed deadlines, vague invoices and code nobody can maintain. The difference is rarely the country - it is how the partner is chosen and how the work is run. This guide covers what we have learned from building software for clients in the UK, France, Poland, the wider EU and Malaysia.

Why companies outsource software development to India

  • Cost: experienced developers cost a fraction of equivalent in-house hires in London, Paris or Amsterdam, without recruitment fees, office space or notice periods.
  • Depth of talent: India has one of the largest pools of software engineers in the world, across PHP, JavaScript, Python, .NET, mobile and cloud.
  • English as a working language: specifications, calls and documentation all happen in English.
  • Useful time difference: India is 3.5 to 5.5 hours ahead of the UK and Central Europe. Your morning overlaps with our afternoon for calls, and work continues after your day ends.

Choose the right engagement model

Fixed-price project

You agree a scope, timeline and price upfront. Best for a clearly defined system - a portal, a CRM, a marketplace - where you want budget certainty. This is how OASIS runs most projects.

Dedicated team or time and materials

You pay for developer time and steer priorities week by week. Best for evolving products where the backlog changes often. It needs more involvement from your side.

Maintenance and support (AMC)

A monthly plan for updates, fixes and small improvements once the system is live. Every serious project needs one - see our support and AMC plans.

How to vet an Indian software development partner

  1. Look at comparable work. Ask for live systems similar to yours, not just a logo wall. Better still, ask to speak to a past client in your region.
  2. Test communication early. Send a short brief. Do they ask sensible questions, or just send a price? Good partners challenge unclear requirements.
  3. Ask who will actually do the work. Meet the people on your project, not only the sales contact.
  4. Check how they handle data. If you are in the UK or EU, your partner must be comfortable with GDPR contracts and secure access to your data. Read our guide to GDPR and offshore development.
  5. Clarify ownership. The contract should give you full ownership of the source code, designs and data once you pay.

Set the project up to succeed

  • Start with discovery. A short paid or free discovery phase turns your idea into screens, workflows and a written scope. It is the single best protection against surprises.
  • Agree a demo rhythm. Regular demos of working software beat status reports. You see progress and can correct course early.
  • Use shared tools. A shared task board, a staging site you can click through and a single chat channel keep everyone aligned.
  • Keep one decision-maker. Nominate one person on your side who can approve screens and answer questions quickly.
  • Plan for after launch. Agree hosting, backups, monitoring and support before go-live, not after.

Common mistakes to avoid

  • Choosing the cheapest quote without checking what it leaves out - testing, data migration, deployment and documentation are the usual gaps.
  • Sending a one-line brief and expecting an accurate fixed price.
  • Skipping written acceptance criteria, so nobody agrees what "done" means.
  • Leaving hosting accounts and domains in the vendor's name instead of your own.

What it costs

Price depends on scope, integrations, data migration and platforms far more than on hourly rates. We explain every factor in what really drives the cost of custom software.

Frequently asked questions

Is outsourcing software development to India safe for a UK or EU company?

Yes, provided the contract covers it: a data processing agreement, the right transfer clauses for GDPR, clear ownership of the source code, and a written scope. Those are the terms to check before the rate.

How do time zones work?

India is 3.5 to 5.5 hours ahead of the UK and Central Europe, so your morning overlaps our afternoon for calls and demos.

Who owns the code we pay for?

You do. Once the project is paid, the source code, designs, database and data belong to you.
