Admission CRM development
Admission CRM and lead management built around how institutes recruit - not a generic sales pipeline.
Capture every student enquiry from every source, put it in front of a counsellor within minutes, keep follow-ups from going cold, and see conversion by course, source and intake without anyone building a spreadsheet.

The admissions problem
Enquiries do not convert because nobody called back in time
Admissions is a speed business. A prospective student fills in a form on your site at 9pm, and also on three other institutes' sites. Whoever calls first, in a language the family is comfortable with, usually wins. Most institutes lose at exactly this point, and the reason is almost never the counsellors - it is that nobody decided who owns the enquiry, and the enquiry sat in an inbox overnight.
The same pattern repeats everywhere we see it: enquiries arriving through six channels into four places, a counsellor keeping their own spreadsheet, an agent's leads arriving by WhatsApp, and a head of admissions who cannot answer "how many enquiries did we get for the September intake, and what happened to them" without two days of work.
What an admission CRM has to do
Capture every enquiry, from every channel
Website forms, phone calls, WhatsApp, walk-ins, education fairs, agent and consultant submissions, and the course-enquiry forms on individual programme pages. Anything that lands in a personal inbox or a notebook is an enquiry you will not be able to report on and will probably lose.
Assign to a counsellor within minutes, by rule
By course or programme, by campus, by language, by region, by agent, or round robin across the team with a cap on how many open enquiries one counsellor can hold. Set by the head of admissions, changed without a developer, because it will change every intake.
Make the follow-up sequence automatic
Admissions is rarely one call. It is a call, a prospectus, a campus visit, a parent conversation, a document request, a deadline reminder. The system should schedule the next action every time one is completed, show each counsellor a daily call list, and escalate when an enquiry has gone quiet for longer than you allow.
Track the application, not just the lead
Enquiry, counselled, application started, documents received, offer made, fee paid, enrolled. Each stage with a date, so you can see where applicants drop out rather than guessing. Document collection matters here more than in most industries: transcripts, identity documents, previous qualifications, and in international admissions, visa paperwork.
Handle agents and consultants properly
If you recruit through agents, the system needs to know which enquiries came from whom, give agents a limited view of their own pipeline, and calculate commission on enrolments without a spreadsheet. Institutes recruiting internationally tell us this is the single feature that justifies the project.
Report on the intake, honestly
Enquiries, applications and enrolments by source, course, campus, counsellor and intake. Cost per enrolment where you are spending on advertising. Average days from enquiry to enrolment. Enquiries with no contact recorded at all - the number almost no institute has seen, and usually the one that pays for the project. These are the reports the management committee actually asks for, and they should exist on a Monday morning without anyone assembling them.
Built for how institutes actually work
- Multiple campuses and branches. Branch-level visibility rules, so a campus sees its own enquiries and the head office sees everything. The same logic we build for any multi-branch sales team.
- Intake cycles. Everything reports by intake, so this September compares with last September rather than with last month.
- Counsellors on phones. Call lists, notes and status updates from a phone, because counsellors at a fair or on a campus tour are not at a desk.
- Parents as a second contact. One enquiry, more than one person to talk to, both on the record.
- Local reality. Multiple languages, WhatsApp as a first-class channel, and data residency where regulations require it.
We have been doing this since 2010
The clearest example is a corporate training provider in Malaysia whose course enquiries we have run since 2010: 18,000+ enquiries tracked, 300 to 500 added every month, three generations of the system and still in daily use. Admissions and course recruitment work the same way - the vocabulary changes, the discipline does not.
Buy or build
If your process is simple and you are happy to work the way a generic product expects, buy one. We will tell you so. Building is the better answer when the course and campus logic is genuinely yours, when agent commission needs to be calculated, when per-user fees across a large counselling team have become a real cost, or when the reports your management committee wants have to be rebuilt by hand every intake. The full test is in custom lead management software vs an off-the-shelf CRM.
How a first phase runs
One intake, one campus, four to six weeks. We map the enquiry sources, agree the assignment and escalation rules with the head of admissions, build, and go live with the counselling team before the next intake opens. Then we widen - more campuses, agent portal, document workflows - once the first group trusts it.
You get a fixed, itemised quote before any development starts, you own the source code and the data, and we stay on afterwards under a maintenance plan. More on how we work on our lead management and CRM services page.
Admission CRM FAQ
The questions heads of admissions ask us first.
A normal CRM models a sales pipeline. Admissions has its own shape: intake cycles, courses and campuses, parents as a second contact, document collection, agent-sourced enquiries with commission, and reporting that compares this September with last September rather than with last month. An admission CRM models that directly instead of asking you to bend a sales pipeline into it.
Yes, and for institutes recruiting internationally this is usually the feature that justifies the project. Each agent gets a limited view of their own enquiries, every enquiry is attributed to its source, and commission on enrolments is calculated from the system rather than from a spreadsheet.
Yes. Enquiries are assigned by campus, course, language or region, and visibility rules let each campus see its own pipeline while the head office sees everything. Reporting rolls up across campuses and compares them.
A first phase for one intake and one campus usually runs four to six weeks, including the workshops to agree assignment and follow-up rules. We aim to go live before an intake opens rather than during it, and then widen to more campuses and the agent portal afterwards.
Yes. Counsellors at an education fair or on a campus tour need their call list, notes and status updates from a phone. If that is awkward, data gets entered days later from memory and every report becomes fiction.
